Creating Email Templates in Under a Minute

Copying and pasting the same email is a complete waste of your time. However, you likely have noticed how some of your correspondence is rather duplicative. In this article we will be discussing how to create an email template in Gmail in under a minute to save you countless hours so that you can get back to building your law firm.

Part 1 - Activate Template in Gmail

To activate templates in Gmail you need to take the following steps:

Step 1: Locate and click the gear icon near the top right corner of your Gmail window and then click Settings:

Step 2: Locate and click the tab called Labs.

Step 3: In the search box, type “canned responses,” click enable, then Save Changes.

Part 2 - Create and Save a Template in Gmail

Now that you have activated that feature within Gmail, we need to create and save our email templates for later use.

Step 1: Click Compose to draft a new email.

Step 2: Draft the email you wish to save as a template.

Step 3: After you have successful drafted your email template, click the down arrow located in the bottom right hand corner of the window, hover over the text ‘Canned Responses’ and then click ‘New Canned Response.’

Step 4: A new pop-up window will appear for you to give your email template a descriptive name. It is important to call the template something descriptive because you will be referencing this title each time you send this email.

Part 3 - Using Your New Template

Now that you have created your email template it is important to understand how to access and use it.

Step 1: Locate and click Compose to begin drafting a new email

Step 2: After you have open the Compose window, locate and click the down arrow located in the bottom right hand corner of the window, hover over the text ‘Canned Responses’ and then click the name of the template you wish to use.

Step 3: After you have selected the name of the template, the Compose window will will be filled with the template text you created. Then simply identify the recipient and hit Send.

Congratulations! You have set up and sent your first canned email. Now spend some time thinking about what else you can turn into a template.
